"Attendances" are used to link professions and locations within defined work shifts, in order to assign tasks to the available resources:
The main view displays a table containing all created presences, along with a brief summary using the following headers:
The given name (custom naming of your choice)
The work shift (day/evening/night)
The defined schedule for the presence
Adding an Attendance
As in most Gustav modules, adding an attendance begins with a simple click on the button located at the bottom right:
"Create attendance" Form
The “Create attendance” form prompts you to fill in the following information:
Name
Must be unique.
The name is discretionary, but it is recommended to use a naming convention that clearly identifies the team, location, and work shift.Profession
Click the small “+” circle to add a profession. You can assign more than one profession to the same presence.Type
The presence type determines whether the role is Full-time or Part-time.Work Shift
A drop-down list of available shifts in your environment, such as Day, Evening, or Night.Schedule
Allows you to define a start and end time for when the presence is required.
Once the basic information is filled in, the “Properties” and “Schedule” tabs will appear, with “Properties” selected by default. This tab shows the same details entered during creation, along with a few additional and more specific fields:
Location
Allows you to select, from the site tree structure, the room(s) covered by the presence.
Meals
Allows you to account for a planned meal break.
Breaks
Allows you to account for a planned break period.
Consulting and Editing an attendance
From the main view, simply click on the row of the relevant attendance to view or edit it. (See the first image of this article.)
Business Rules
An attendance represents a continuity of service within a facility.
An attendance includes a list of professions.
Clinical activities will be assigned if the clinical activity includes one of the attendance's professions. If multiple attendances have the same profession during the same time period, there is no guarantee which attendance will be assigned the activity.
A clinician can be assigned to each working day of the attendance.
The clinician may belong to a different profession. However, they will not see the activities in their routine if their profiles do not match those of the activity.
An activity is linked to a attendance.
When aa attendance is modified, the changes are applied to assignments starting from the date of the modification.
An attendance is assigned to specific rooms. It will include the activities from those rooms that match its profile.
Only one attendance per shift with the same profession can be assigned to a specific room.
Other attendances, which share common professions and overlapping time periods, can participate in service distribution (e.g., reassignment of an activity).
An attendance has common tasks assigned to it. A common task can be performed by multiple attendances.
For example, “emptying the trash bins” can be done by PAB1 and PAB2 during the night shift.
Each attendance will be responsible for completing its assigned tasks.
